Running cold email outreach at any real volume quickly becomes an operations problem, not just a copywriting one. The client needed to send initial outreach emails, track who needed a follow-up and when, watch for replies across every conversation, and make sure no one who responded kept receiving automated follow-ups by mistake. Managing this manually — or across a patchwork of disconnected tools — meant constant manual tracking and a high risk of the exact thing that damages a sender's reputation and relationships: follow-ups going out to someone who already replied.
The Solution
SystemicAI built a full outbound automation system, with n8n running the automation logic behind a custom client-facing dashboard. The system includes:

The Result
The client now runs their entire outbound process — sending, timed follow-ups, reply tracking, and notifications — without manual oversight of individual leads or conversations. What used to require constant manual tracking (who's been contacted, who's due for a follow-up, who's replied) now runs automatically in the background, with the client only stepping in once a real reply comes through. The dashboard also means the client can adjust their own messaging and sending cadence at any time, without needing to go back to SystemicAI for changes.
