At Systemic AI, we provide an autonomous conversational infrastructure framework for businesses. This Privacy Policy outlines how we collect, protect, isolate, and handle data when you deploy our tenant workspaces.

1. Data Collection & Role Clarification

We act as a Data Processor for the business data you input, and your company acts as the Data Controller for your end-customers' messages.

  • Account & Business Information:We collect your Full Name, Business Name, Company Size, Email Address, and safely store an encrypted password hash.
  • Inventory & Core Guidelines:Any text, pricing, inventory details, or custom system instructions you input into the dashboard are stored on our secure ledger to serve your AI agent.
  • Conversational Logs:We temporarily store or stream conversation transcript indexes from WhatsApp to display them on your dashboard matrix view.

2. Infrastructure Security & API Keys (The BYOK Model)

We prioritize high-level protection for your proprietary system access keys.

  • Application-Layer Encryption: Your Google Gemini API keys and Meta authentication tokens are never stored in plain text. They are instantly encrypted using secure, multi-layered server-side protocols before hitting our databases.
  • Key Isolation: Your keys are strictly isolated to your tenant workspace ID. They are only decrypted in volatile memory during active live execution loops to safely route language model requests.

3. Third-Party Data Disclosures & Integrations

Because this app relies on external infrastructure pipelines, your data interacts with two main processors:

  • Google AI Studio / Gemini API: When your end-customers send a message, the relevant context is securely passed to Google using your provided API key. Google processes this request according to the Google AI Studio Terms of Service.
  • Meta (WhatsApp Business API): Message payloads flow through Meta’s secure webhook servers to establish the WhatsApp Coexistence channel. Meta manages this traffic under the WhatsApp Business Terms of Service.

4. Data Retention & Deletion

  • Account Data: We retain your workspace configurations as long as your account remains active.
  • Instant Purging: If you update or overwrite your Gemini API key in the settings panel, the previous cryptographic payload is permanently deleted and overwritten on our ledger.
  • Account Termination: Upon request, deleting your tenant account triggers a full wipe of your business profile database record, including all stored inventory matrices and logs.
